AMSANT website privacy policy

The Aboriginal Medical Services Alliance Northern Territory (AMSANT) (“AMSANT”, “we”, “us”, “our”) is committed to protecting the privacy and handling of personal and sensitive information respectfully and securely.

This privacy policy explains AMSANT processes for the collection, use, storage, and management of the personal or sensitive information it holds. Information collected is managed by AMSANT’s confidentiality privacy and intellectual property policy, and the Privacy Act 1988 (Cth).

1. What is personal or sensitive information?

Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable:

  • Whether the information or opinion is true or not.
  • Whether the information or opinion is recorded in a material form or not
  • Includes any information that discloses a person’s identity or from which a person’s identity is reasonably ascertainable.

Sensitive information is a sub-category of personal information which is afforded a higher degree of protection under the Privacy Act 1988. Sensitive information includes information pertaining to:

  • health information
  • criminal records
  • racial or ethnic origin
  • trade or professional memberships
  • political opinion or associations
  • religious beliefs or affiliations, philosophical beliefs
  • sexual preferences or practices
  • sensitive information must only be collected with the relevant individual’s informed consent.

Sensitive information is not used or disclosed for a secondary purpose by AMSANT unless the secondary purpose is directly related to the primary purpose for collection and within reasonable expectations of the individual. Consent to receive sensitive information will be implied where the individual voluntarily provides the sensitive information to AMSANT where this information has not been specifically requested by AMSANT.

2. What information we collect

AMSANT only collects personal or sensitive information that is reasonably necessary for, or directly related to, one or more of the functions and activities of AMSANT, unless an exception under the Privacy Act 1988 applies (e.g. as required or authorised by law).

Depending on how you interact with our website, we may collect personal or sensitive information such as:

  • contact details (e.g. name, email address, phone number, organisation)
  • enquiry details you provide through contact forms, emails or phone calls
  • newsletter subscription details (e.g. name, email address, subscription preferences)
  • event and registration details (if you register interest or RSVP through our website)

  • pages visited, referral sources, and interaction data
  • cookies and similar tracking technologies.

3. How we collect information

We collect information when you:

Where reasonable and practical, we collect personal or sensitive information directly from you. If AMSANT receives personal or sensitive information that is not requested, AMSANT will determine whether the personal or sensitive information is reasonably necessary for one or more of AMSANT’s functions or activities. If it is, AMSANT will manage the personal or sensitive information in accordance with its policies. If it is not, the personal or sensitive information will be permanently and securely destroyed.

4. Why we collect, use and hold information

We collect, use and hold personal or sensitive information to:

  • respond to enquiries and provide requested information
  • manage and deliver newsletters, updates and communications you opt into
  • deliver or improve access to our services, programs, and resources
  • administer event registrations or expressions of interest (where relevant)
  • maintain website security and performance
  • understand website use and improve user experience
  • meet legal, regulatory, governance and reporting obligations.

5. Disclosure of personal or sensitive information

We may disclose personal or sensitive information to:

  • AMSANT staff who need the information to perform their role
  • trusted contractors and service providers that support our operations (e.g. IT support, website hosting, security/spam protection, form tools, analytics providers, email distribution platforms)

  • regulators or law enforcement agencies, where required or authorised by law.

We take reasonable steps to ensure service providers only use personal or sensitive information for authorised purposes and handle it securely.

6. Third-party software and platforms

AMSANT may use third-party software and platforms to support the website and communications, including email distribution and subscription management services.

If you subscribe to AMSANT newsletters or updates, information such as your name, email address, subscription preferences, and engagement data (e.g. opens/clicks) may be used by AMSANT to manage subscriptions, send communications and improve communications. These providers may store or process data outside Australia.

7. Overseas disclosure

Some third-party providers we use (including Mailchimp and other cloud-based platforms) may store or process personal or sensitive information on servers located outside Australia, or may use support services based overseas.

Where this occurs, AMSANT takes reasonable steps to ensure appropriate privacy and security protections are in place and that information is handled consistently with this Privacy Policy.

AMSANT’s website may use cookies and similar technologies to:

10. How we store and secure personal or sensitive information

AMSANT takes reasonable steps to ensure that the personal or sensitive information it holds is protected from misuse, interference, loss and from unauthorised access, modification, or disclosure.

Personal or sensitive information received by AMSANT is held securely, either in electronic files on the AMSANT computer network or in a physical file stored at AMSANT’s premises. AMSANT takes reasonable steps to protect all personal or sensitive information it holds by using security technology and systems, such as firewalls.

11. Data breaches

If a data breach occurs that is likely to result in serious harm, AMSANT will take steps consistent with Australian data breach notification requirements, including notifying affected individuals and relevant authorities where required.

12. Accessing and correcting your personal or sensitive information

AMSANT takes reasonable steps to ensure that personal or sensitive information it collects, holds, uses, and discloses is accurate, complete, and up to date and relevant to any use or disclosure. You may request access to personal or sensitive information AMSANT holds about you, and request corrections if you believe it is inaccurate, out of date, incomplete, irrelevant, or misleading.

If you have a concern or complaint about how AMSANT handles personal or sensitive information, please contact us and we will respond as soon as reasonably possible.
